LLumin CMMS+ allows you to create and manage cycle counts to maintain accurate inventory tracking. You can define cycle frequencies and organize items to streamline stockroom operations.
Instructions
To create or edit a cycle count, perform the following steps:

Navigate to the Inventory drop-down menu on the menu bar.

Select Inventory Count Setup.

On the Cycle Count screen, choose one of the following options:

- Select a existing Cycle from the dropdown menu and click Edit.
- Or click +Create Cycle to create a new cycle.

Creating a New Cycle Count
- The Create Cycle window will appear, as shown below.
- In the Create Cycle window, enter:

- A description for the cycle.
- Set the Cycle Frequency (in months).
- The next due date for the cycle.

Next, use the Item Finder to search for and select items, then click Select.

The selected items will appear in the Cycle Items panel on the left, as shown below.

In this screen, organize the cycle list by dragging and dropping items to rearrange their order.

Click Save to finalize the cycle.
TIP: Use filters in the Item Finder to quickly locate specific items.
Editing an Existing Cycle Count
- Navigate to the Cycle Count Setup screen.
- Select a cycle from the dropdown menu and click Edit.
- Modify the Description, Cycle Frequency, or Next Due date as needed.

Add new items using the Item Finder or remove existing items by clicking the X next to an item.

To delete an entire Cycle, click the Delete button.

Click Save to finalize changes.
Configuring Notifications for Cycle Counts
- While editing or creating a Cycle Count, navigate to the Notifications tab.
- Enter a number in the provided field to send a notification prior to the next due date.

A screen will appear with Notify and Require Acknowledgement options, as shown below.
Setting Up Notifications
- Click Notify to open a pop-up that allows you to notify a predefined group.
- Under Group, select an existing group (e.g., asset managers) from the dropdown or click +Create New to create a new group.

The selected group's users, associated stockroom, and available notification methods will be displayed, as shown below.

Under Notification Method, select the email icon and/or message icon to define how notifications will be sent.
NOTE: If either icon has an exclamation mark on it, that means the notification type isn’t configured for this user or group.

Click Apply to save your changes.
Setting Up Acknowledgements
- Click Require Acknowledgment to open the acknowledgment menu.
- The group and stockroom selection options remain the same, but email is the only available notification method.
- Configure the notification and click Apply.
- After adding an acknowledgement, three additional options will appear
Field Description Actions Require Minimum Approvals from Each Group Ensures a specific number of approvals from the selected group. - Check the box to enable.
- A ratio field appears next to the group name.
- Click the ratio field to set the minimum approvals.
- Example: If a group has two members, you can require one approval instead of both.
Renotify If No Response Sends a reminder if no response is received within a set time. - Check the box to enable.
- A Renotification Interval pop-up appears.
- Enter the time interval after which a reminder should be sent.
- Select hours, days, or weeks, then click Apply.
Escalate to Another Group If No Response Escalates the notification to another group if no response is received. - Click Escalate to Another Group.
- An Escalation Interval pop-up appears.
- Enter the time interval after which the escalation occurs.
- Select hours, days, or weeks, then click Apply.

To add multiple notifications or acknowledgments, click +Add Another Notification.

To customize a notification message, click the message icon.

To edit notifications or acknowledgments, click the three dots next to an entry and select Edit.

To add another notification, click +Notify Another.

Click Save to apply all changes.
