Introducing Cycle Count Enhancements

LLumin CMMS+ now supports multi-stockroom cycle counts, a significant improvement for customers managing inventory across multiple locations. This update simplifies how you set up and perform both routine cycle counts and ad-hoc counts, while respecting user permissions and enhancing clarity across the count entry experience.

Why this feature?

Previously, cycle counts were limited to a single stockroom, even if the cycle itself included items from multiple stockrooms. This caused confusion and limited flexibility. With this update, users can now initiate counts across several stockrooms at once and track item counts by stockroom more accurately.

What's new

Here’s a snapshot of the changes being made to our Cycle Count screens:

Feature Description
Multi-Stockroom Cycle Counts You can now assign items from multiple stockrooms to a single cycle count and start that count without being forced to filter to a single stockroom.
Stockroom Selector (Multi-Select) On the Start Cycle screen, a new multi-select stockroom filter allows users to refine the list of cycles based on selected stockrooms.
Stockroom Column in Count Entry The item grid during cycle entry now includes a Stockroom column so you can easily tell where each item is coming from.
Smart Scanning If you scan an item present in multiple stockrooms, the system prompts you to select which stockroom to apply the count to.
User Permission Filtering Stockrooms are filtered based on the user’s data authorization. If a user only has access to one stockroom, it’s auto selected.
Ad-Hoc Count Support Ad-hoc counts also support multiple stockrooms. Stockroom selection is required before adding items, and all item lookup and entry functions reflect the selected stockrooms.

Getting Started with Multi-Stockroom Cycle Counts

Starting a Cycle Count
  1. Go to Inventory > Count Inventory.
  2. On the new Cycle Count page, you will be given the option to select Cycle Count or Ad Hoc Count, as shown below.
  3. To start a standard count, select Cycle Count.
  4. Use the new Select Stockroom(s) multi-select dropdown to filter available cycles by one or more stockrooms.
  5. Then, click the Start a Cycle Count button and choose a cycle from the filtered list.
  6. Click Start.

What’s New When Starting a Cycle

Once you start a cycle, you’ll see several improvements that make multi-stockroom counts easier and more transparent:

  • A new Stockroom column now appears in the item list, letting you quickly identify where each item is stored.
  • If the same item exists in more than one stockroom, it will appear once per stockroom. This ensures that each instance can be counted and tracked individually.

Item Scanning Behavior

When scanning items during a multi-stockroom cycle, the system now allows you to select the correct stockroom:

  • If a scanned item exists in multiple stockrooms, a prompt appears asking you to choose which stockroom it belongs to, as shown below.
  • If you select a stockroom that’s not part of the current cycle, the system will display a clear error message, as shown below.
  • Once a valid stockroom is selected, the system continues to item entry without interruption.

Completing the Cycle

Once all item counts are entered, the submission and approval process works just as before—with a few important changes:

  • Submit the completed cycle for approval using the same process you're used to.
  • If the cycle includes items from multiple stockrooms, they are now displayed on the approval screen, making it easy to review and approve the count.

Ad-Hoc Count Enhancements

Ad-hoc counts now support the same multi-stockroom flexibility as standard cycles.

  1. Choose Ad-hoc Count as your count type.
  2. Use the new Select Stockroom(s) multi-select dropdown to filter available cycles by one or more stockrooms.

Start scanning items:

  • Only items from the selected stockrooms will be available.
  • A Stockroom column is now visible in the quick search results, so you always know where each item is located.
  • Once scanned, the correct stockroom and item record are automatically linked.

Data Authorization and Access Controls

Cycle and ad-hoc count screens now fully enforce user-level stockroom permissions.

  • The Select Stockroom(s) dropdown only displays stockrooms the user is authorized to access.
  • If a user has access to only one stockroom, it is auto-selected to streamline the workflow.
  • Users will only see items tied to their authorized stockrooms when starting a count.

Example: A user authorized for Main and Atlanta Plant stockrooms will not see items from East stockrooms, even if the cycle includes it.
