How to Set Up Recurring Work Orders based on Utilization

In LLumin CMMS+, you can create recurring work orders that trigger automatically based on utilization readings. This guide demonstrates the method for setting up recurring work using hour readings, for example, on a gas turbine generator.

NOTE: This process covers the manual utilization tracking. It does not include integrations or tag-based criteria.

Set Up the Asset for Utilization Tracking

  1. From the menu bar, go to Assets > View Assets.

  2. Then, select the asset you want to track from the Finder.

  3. On the asset record, open the Performance tab. Then, expand the Utilization panel.

  4. Select the Unit of Measure (UOM) from the dropdown menu. If the correct UOM does not exist, type it in manually.

  5. Then, click the note-taking icon and enter the current value.

  6. Click the checkmark icon to confirm.

  7. When prompted to update the asset’s utilization, click Yes.

  8. A new line will appear in the table showing the utilization reading.

  9. To record additional readings, click the note-taking icon again and repeat the process.

  10. Once multiple readings are entered, review the cumulative utilization trend in the chart at the bottom of the panel.

  11. Click Save when finished.

Create a Recurring Work Order Tied to Utilization

  1. Go to Recurring Work > Create Recurring Work.

  2. Complete the header information for the recurring work order.
    • Required fields are marked with a red asterisk (*). 
    • Then, select the Assets sub-menu. 

  3. Add the asset and specify the next reading that should trigger a new work order.
    • Example: Enter 500 hours as the next trigger point. 

  4. Open the Trigger Info sub-menu and select By Utilization as the trigger method
    • In the Create Next Work Order Units Before Due field, enter the number of hours before the trigger point to create the work order.
    • Example: Enter 10 to generate the work order when a reading of 490 or higher is entered.

  5. Set the trigger cadence and generation interval:
    • In the Create Future Work Orders to Be Due box top-left, enter the number of units in the left field.
    • Select the Unit of Measure from the dropdown.
      • The UOM will match the unit selected for the asset earlier.
      • All assets on the recurring work must use the same UOM.

  6. Choose how the next due point advances:
    • After Utilization Value at the Time of Work Order Completion: Advances the next due point based on the utilization value entered when the work order is completed.
    • After Scheduled Utilization Value: Advances the next due point based on the scheduled interval.
    • In this example, after the 490-hour trigger, the next work order will generate at 590 hours.

    • (Optional) Select Create Single Multi-Asset Work Order or Allow Recurring Work to Trigger While Previous Work Order is Open as needed.
  7. Select the Procedures & Parts sub-menu.

  8. Click Add to include procedure steps or instructions for completing the work.

    NOTE: If you add parts, they will be reserved when the work order is created but will not automatically deduct from stock.

  9. Click Create to finalize the recurring work setup.
