The Import Data feature in LLumin CMMS+ allows you to bulk import assets, materials, or other datasets into your instance using a validated Excel template. Before importing, you must download two files that define your data structure and configuration.
Important: Work with your LLumin implementation consultant to ensure a smooth import process and avoid data conflicts.
Instructions
To import data, perform the following steps:
Click the Gear icon in the upper-right corner of the screen.
Select Import Data.
NOTE: Access to the Import Data screen requires a specific user permissions. If you do not see this option, contact your system administrator.
- On the Import Data screen, download the two required files:
- LLumin Import Template – Your tool for entering and validating data.
Import Template Configuration File – Used by the Import Template to validate your data.
Preparing the Files
IMPORTANT: The LLumin Import Template uses macros. If your organization blocks macro-enabled spreadsheets, work with LLumin Support or your implementation consultant to complete the import.
Locate both downloaded files in your Downloads folder.
Right-click each file and select Properties.
If the Unblock checkbox appears for either file, select it and click OK.
NOTE: This step allows Excel to enable macros when the Import Template is opened.
Using the LLumin Import Template
Open the LLumin Import Template in Excel.
On the first worksheet, set the dataset type you plan to import (i.e. Assets).
Click the link to select the configuration file.
Once selected, macros will activate and automatically generate the necessary data entry sheets.
NOTE: A green checkmark will appear in this section if the upload to the template was successful.
- You can either:
- Click Select Source File to copy data from an existing workbook, or
Enter your data manually into the generated sheets, following field and format requirements.
- When all data has been entered, return to the first worksheet and click Validate Import.
- Macros will run to confirm that:
- All required fields are completed.
- All character limits are met.
All referenced assets or related records exist in your instance.
After Validation
Once validation is successful, save your completed Import Template file and send it to your LLumin implementation consultant for processing.
