How to Configure Notifications for Work Order Types

Overview

Notifications for a Work Order Type control who receives email updates when Work Orders of that Type are created, assigned, and completed. Notifications are configured on the Work Order Type master.

Configure notifications

  1. Select the Gear icon in the top navigation bar, and then select Admin Mode.

     

  2. Select Asset & Work Management > Work Order Types.

     

  3. In the Work Order Type Finder, select the Work Order Type you want to configure, and then select View.

     

  4. Select the Notifications card.

     

  5. The Notifications menu will appear, as shown below.

     

  6. In the Emails field, select one or more email addresses. The recipients listed in this field receive an email when a Work Order of this Type is created.
    • Select from the list of existing system users, or
    • Enter an external email address.

       

  7. To send an email when a Work Order of this Type is completed, select the Send Completion Email checkbox.

     

  8. In Send Email to Assigned To, select Yes or No.
    • Select Yes to notify the assigned user when a Work Order of this Type is assigned.

       

  9. Review the Disable Assigned To Email on Recurring Work option.
    • This setting prevents assignment emails from being sent for Work Orders of this Type that are created from Recurring Work.
    • The value may be read only, depending on global configuration.

  10. Select Save.
Tip: Use a distribution list address in the Emails field when multiple people need to be notified about Work Orders of this Type.
