How to Create Data Collection / Condition Assessment Steps

Overview

Data Collection (also called Condition Assessment) steps are used to capture structured information during task execution. These steps can appear in many areas of LLumin CMMS+. These steps guide users through inspections, measurements, confirmations, and other required inputs to ensure consistent and accurate data capture.

Data Collection steps can be used in multiple areas of the system, including:

  • Procedures

  • Work Request Criteria

  • Pre-Work Criteria

  • Completion Criteria

Before you begin

The process for creating steps is the same across all modules. Data Collection steps are organized into Step Groups. Each group contains one or more steps, and each step uses a Data Type that determines how the user enters information.

Create a Step Group

  1. Navigate to the screen where Data Collection steps are supported (for example, the Data Collection Steps tab in a Procedure).
  2. Select Add Step Group.

  3. Enter a name for the group (for example, “Daily Safety Check,” “Inspection Steps,” or “Verification”).

Step Groups help organize steps into meaningful categories and improve readability for technicians.

Add a New Step

  1. Select Add Step inside the group you created.

     

  2. Enter a Step Description. This is the instruction or question shown to the user. 

    Examples:
    • “Inspect belt for wear”
    • “Record temperature reading”

  3. Select a Data Type. The Data Type defines how users enter information.

Choosing a Data Type

Common Data Types include:

  • Checkbox – Yes/No confirmation
  • Alphanumeric – Free-text entry
  • Numeric – Number entry
  • Date – Calendar selection
  • File Upload – Attach a document or photo
  • Yes/No – Two-option selector
  • Signature – Capture a digital signature
  • Utilization Value – Capture usage/reading values
  • Asset Confirmation – Require selection of an asset

After selecting a Data Type, LLumin displays additional configuration options based on the type selected.

Configure Additional Options (Varies by Data Type)

Some Data Types include extra configuration options. These options help control how information is entered and how LLumin responds to the data.

Save to Asset FieldSaves the technician’s entry directly to a linked asset field.
Default ValueSets a pre-filled value the user can change.
Units of Measure (UOM)Adds a measurement unit to numeric inputs.
Value RangeDefines the minimum and maximum allowed values.
RequiredMakes the step mandatory before submission.
Trigger ActionsCan show another step, display a message, create a Work Order, or send an email (available only in some modules).

 

These options vary based on the Data Type selected, and not all options appear in every Data Collection context.

Manage Steps & Step Groups

Additional actions are available when you hover over a Step Group or Step and select the three-dot menu.

 

Step Group actions may include:

  • Add Step

  • Rename

  • Delete

  • Move Up

  • Move Down

Move options are available only when multiple Step Groups exist.

 

Step actions may include:

  • Edit

  • Rename

  • Delete

  • Duplicate

  • Insert Step Before

  • Insert Step After

  • Move Up

  • Move Down

  • Add Conditional Step

Available options depend on the configuration and where the steps are created in the system.

 

Save and Continue

  1. Select OK or Save to add the step to the group.

  2. To add additional steps:
    • Select Add Step, or
    • Select Copy to New Step to duplicate the current step and adjust the details.
  3. Repeat the process to create additional step groups as needed.

Once created, these steps appear in the appropriate workflows and support accurate inspections, safety checks, compliance tasks, and operational decisions.
