How to Configure Pre-Work Criteria / Checklists for a Work Order

Overview

Pre-Work Criteria define what information must be provided before a technician can start a Work Order of this Type. Required fields and optional checklists help ensure safety and compliance before work begins.

Configure Pre-Work Criteria

  1. Select the Gear icon in the top navigation bar, and then select Admin Mode.

     

  2. Select Asset & Work Management > Work Order Types.

     

  3. In the Work Order Type Finder, select the Work Order Type you want to configure, and then select View.

     

  4. Select the Pre-Work Criteria card.

     

Require specific fields before work can start

  1. Select any fields that must be completed before the technician can start the Work Order. Available fields may include:
    • Due Date
    • Lead Assigned To
    • Estimate (Hours)
    • Reason for Work
    • User Defined Fields (UDFs)
    • Requested By
  2. To require safety documentation, select Require Safety Documentation.

     

Pre-Work Checklists

A Pre-Work Checklist is a structured set of steps a technician must complete before LLumin allows the Work Order to be created. These checklists are commonly used to document:

  • Safety conditions
  • Environmental or facility conditions (temperature, humidity, weather)
  • Operator or technician readiness (PPE checks, health checks)
  • Site-specific requirements

New or updated checklists apply instantly to all Work Orders of this Type.

Enable the Pre-Work Checklist

  1. Select Enable Pre-Work Checklist.

     

Note: If this Work Order Type has no existing checklist, LLumin displays a message indicating that no Data Collection Steps are present.

 

Create a Step Group

  1. Select Add Step Group.

     

  2. Enter a name for the group, such as Safety Checks or Environmental Readings.

     

Add a Step to the Group

  1. In the Step Group, select Add Step.

     

  2. In the Newt Step window, enter the Step Description.

     

  3. Select a Data Type. The Data Type determines how technicians enter information (for example: Numeric, Checkbox, Date, Signature, File Upload).

     

  4. After selecting a Data Type, LLumin displays additional configuration fields depending on the type. Examples include:
    • Unit of Measure (UOM)
    • Default value
    • Minimum and maximum allowed values
    • Required flag
    • Save to Asset Field

Tip: If the UOM you need does not appear in the dropdown, you can type a new one, and LLumin will store it for future use.

 

  1. (Optional) Attach a file to the step. This is useful for diagrams, documents, or images technicians should reference.

     

  2. Select OK at the bottom of the window to save the step.
  3. Add more steps or groups as needed.
  4. Select Save.

Pre-Work Criteria for this Work Order Type are now configured.
