Overview
Reasons for Work help categorize and define why a Work Order is being created. These values are used consistently across all Work Order Types to support standardized categorization, reporting, and workflow clarity.
Administrators can create main reasons, add optional sub reasons for additional detail, and control where each reason is available within the system.
Navigate to Reasons for Work
Select the Gear icon in the top navigation bar, and then select Admin Mode.
Select Assets & Work Management > Reasons for Work.
Reasons for Work page overview
The Reasons for Work page displays a table with the following columns:
- X: Deletes a Reason for Work.
- Reason ID: A single-character identifier (letter or number).
- Description: The name of the reason.
- Category: An optional classification (for example, Degraded Asset, Down Asset, or Recurring Work Only).
- Site: Shows where the reason is currently used.
- Number of Sub Reasons: How many sub reasons exist.
- Sub Reason: Opens the Sub Reason editor.
- Available In: Defines where the reason is available.
At the top of the screen, the following actions are available:
- Add New Record
- Save Changes
- Cancel Changes
Create a Reason for Work
Select Add New Record.
- A new blank row appears in the table.
- In the new row, enter:
Reason ID: Must be a single letter (A–Z) or number (0–9) and must be unique.
Description: Name for the reason (for example, “Scheduled Maintenance”).
- Category (optional): Choose a category from the dropdown (for example, Degraded Asset or Down Asset).
(Optional) Select Edit in the Sub Reason column to add sub reasons.
- If you are not adding sub reasons, select Save Changes to confirm your new entry.
Add a Sub Reason
In the Edit Sub Reasons window, select Add.
- Enter a Sub Reason ID (one character, unique within that Reason).
Enter a Description.
- Select Save.
Configure Where the Reason Is Available
Once a Reason for Work exists, you can control where it is available.
Select Available In.
- Check or uncheck any locations, plants, or sites where the reason should be available.
Select Save at the bottom of the window.
Edit an Existing Reason
- Click directly into an editable field, such as Description or Category.
Enter your changes.
Select Save Changes.
Delete a Reason for Work
Select the X button next to the reason you want to remove.
Select Save Changes to confirm the deletion.
Select Cancel Changes instead if you want to discard the deletion.
