The Project Module in LLumin CMMS+ has been redesigned to improve project planning, execution, and visibility.
This update introduces a modernized Project screen, simplified milestone management, enhanced Gantt planning, project status tracking, workflow approvals, and asset cost allocation.
Projects help organizations organize related work orders, purchase orders, labor, materials, and costs under a single initiative. These improvements provide better visibility into project progress, dependencies, approvals, and related operational activity.

The following sections cover the major workflows and enhancements included in the updated Project Module.
Milestones and Gantt Planning
Milestones have been simplified to reduce setup complexity and improve project visibility.
Previous versions supported nested child milestones. The updated workflow replaces those structures with linked work orders and purchase orders.
Create a Milestone
To add a milestone:
- Open a project by going to Work Orders > View Projects.

Select a project from the Project Finder and click View.

In the Project screen, click Add Milestone.

Enter milestone details and scheduling dates.
- Save the milestone.
After saving, the milestone appears in the Gantt chart.
Link Work Orders and Purchase Orders
Work orders and purchase orders can now be linked directly to projects and milestones.
When linked:
- Records appear in the Gantt chart.
- Scheduling dates populate automatically.
- Timeline bars update as work progresses.
- Records can be opened directly from the chart.
Example
A work order linked to a construction project can appear beneath a related milestone in the timeline. As work order dates change, the Gantt chart updates automatically.
This gives planners and supervisors a centralized view of project activity and scheduling.
Dependency Management
The Gantt chart now supports dependency management between milestones, work orders, and purchase orders.
Dependencies can be created directly within the chart to define project sequencing and prerequisite work.
Common use cases include:
- Requiring inspections before startup work.
- Sequencing shutdown activities.
- Preventing installation work before materials arrive.
- Coordinating contractor and maintenance tasks.
Create a Dependency
To create a dependency:

Open the Gantt chart in the Milestones section.

Hover over a milestone or linked record.

Drag from the dependency handle to another timeline item.

Release the connection to create the dependency.
- Save the project.
The dependency relationship appears immediately in the chart.
Work Order Dependency Enforcement
A new system configuration can enforce work order dependencies within projects.
Enable Dependency Enforcement
Dependency enforcement is controlled through the following configuration:

Project Work Order Dependency Halting
When enabled
- Dependent work orders are blocked until prerequisite work is completed.

Sequential execution is enforced.
When disabled
- Dependencies remain visible in the Gantt chart.
- Work orders can still be processed simultaneously.
This allows organizations to decide whether dependencies are informational or enforced.
Project Tracking Functionality
Projects now include a Project Updates section for recording status updates throughout the project lifecycle.
The Project tracking functionality provides a quick way to communicate project health, schedule concerns, and budget status without editing the main project record.
Record a Project Update

From the To Do tab, open the Project Updates tab.

Click Add.

Enter your update details.
- Select a progress value:
- On Track
- At Risk

Over Budget
After saving, updates appear in the Project Updates grid and can also be included in Project Update reports for management review and oversight.
Workflow Approvals
Project workflow approvals have been improved to support more reliable approval processing.
Projects can now fully participate in approval workflows and can be prevented from moving into a Ready status until required approvals are completed.
Access the Project Workflow
- Go to Admin Mode > Compliance & Module Set-up > Workflow Rules.

Select the Project tab.
- Select Create Rule to begin configuring your workflow.
Approval workflows can be configured based on:
- Project type.
- Estimated cost.
- Organizational rules.
- Approval requirements.
When approval conditions are met:
- Projects can move into a Pending Approval status.
- Approvers can review and approve the project.
- Execution is restricted until approvals are completed.
This helps organizations enforce review and approval processes before work begins.
Asset Creation and Cost Allocation
Projects can now create new assets or update existing assets during project completion.
This improvement supports asset capitalization and project cost tracking by allowing project costs to flow directly into asset values.
Create a New Asset
To create a new asset from a project:

From the To Do tab, open the Assets section.

Select Add.

Select Create.

Enter an Asset ID.

Define the Percent Allocation.
- Click Save.
When the project is completed, LLumin creates the asset and applies the allocated project cost to the asset value.
Update an Existing Asset
To allocate costs to an existing asset:

Select Update.

Search for an asset in the Asset ID field or use the magnifying glass to open the Asset Finder.

Define the Percent Allocation.
- Click Save.
The allocated project value is applied automatically when the project is completed.
Allocation Validation
LLumin validates allocation totals across all project assets.
If total allocations exceed 100%, the system displays a warning and prevents invalid totals from being saved.
Settings and Configurations
The following configuration controls dependency enforcement:
- Project Work Order Dependency Halting
When enabled, dependent work orders cannot be started until prerequisite work orders are completed.
Workflow approvals must also be configured for organizations using project approval routing.
