Digital Signature with PIN Authentication adds an additional layer of security and accountability to designated actions throughout LLumin CMMS+.
When enabled, users must enter their User ID and PIN before completing certain actions. All signature events are logged for audit and compliance purposes.
Note
Digital Signature with PIN Authentication is available for Enterprise customers only.
Because this feature can impact operational workflows and approval processes, LLumin recommends coordinating with your implementation team before enabling it.
Enable PIN Security
To enable Digital Signature with PIN Authentication:
- Go to Admin Mode.
- Select Application Settings > Options.
- Open the System / Miscellaneous section.
- Configure the PIN settings as needed.
- Click Save.
Configuration Options
| Setting | Description |

| Enable PIN Security | Enables Digital Signature with PIN Authentication throughout the system. |
| Maximum PIN Attempts | Defines the maximum number of incorrect PIN entries allowed before a user is locked out. |
| PIN Expiration Days | Defines how many days a PIN remains valid before requiring the user to create a new PIN. |
| PIN Admin Email | Receives notifications when a user exceeds the maximum number of PIN attempts. |
Create a PIN
Users can create a PIN from either:
- My Account
- User Management
- Open the user record.
- Click Set PIN.
- Enter a PIN.
- Confirm the PIN.
- Click Confirm.
Using Digital Signatures
When a user performs a designated action that requires a digital signature, LLumin prompts for authentication.
Users enter:
- User ID
- PIN
After successful validation, the action is completed and the signature event is recorded.
Signature Log Details
Each digital signature records:
- User ID
- Date and time
- Action performed
Reset a PIN
Administrators can reset a user's PIN when necessary.
- Open the user record through User Management.
- Click Reset PIN.
- Select OK to confirm.
The user's PIN is cleared and must be recreated before Digital Signature actions can be performed again.
